Occupational Summary

Provide a variety of administrative duties in support of a Department Chair, Vice Chair, large Division Chief or Clinical Service Unit (CSU) Chief within the School of Medicine. Apply advanced knowledge and skills to routinely resolve complex administrative problems independently or with others.

Work Performed

Assist the Department Chair in the timely management of all communications, both written and via telephone with a variety of constituents; compose letters and statements independently requiring interpretation and application of University policies, rules and regulations and monitoring follow up with all distributions that require answers, responses and written replies.

Arrange for and schedule appointments for the Chair; supervise the preparation of materials for meetings; coordinate appointments, meetings and speaking engagements for the Chair.

Help plan and coordinate visits of distinguished guests invited by the Chair ensuring appropriate officials and administrators are notified of visits; help plan and coordinate the preparation of such events as necessary.

Assist the Chair in such duties as may be assigned or delegated to implement services designed to meet the needs of constituents.

Maintain liaison with all levels of administration and faculty to coordinate and resolve problems and issues relative to health care, academic, and administrative matters of an internal and external nature.

Coordinate the work of designated employees, reviewing completed work for adherence to instructions and correctness.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training

Work generally requires knowledge of basic mathematical, research, and communication principles normally acquired through two years of post secondary education.

Experience

Work generally requires four years of progressive clerical or project management experience to acquire strong skills in administrative, project management and/or basic research responsibilities as well as accepted office management,communications, and research practices.
