Occupational Summary

Manage all aspects of leased space resources for Duke University Medical Center, Duke Hospital and Duke Health Network, and coordinate and perform other administrative/managerial duties in the Office of the Associate Vice Chancellor for Health Affairs.

Work Performed

Manage the full spectrum of property assets related to leased space off campus for the Duke University Medical Center (DUMC), Duke Hospital, and the Duke Health Network; discuss program requirements with administrators and department business managers; work directly with real estate brokers to meet space needs/requirements; negotiate terms and conditions of leases on Dukes behalf, prepare lease agreements, and review with legal counsel for advice; discuss changes and work through problems with leaseholders; develop and manage plans for occupancy; represent University in lease renewal negotiations.

Coordinate the up fitting or renovation of leased space to meet tenants needs, interfacing directly with architectural firms, contractors, furniture companies and service units such as Medical Center Information Systems and Tel Com to produce desired finished product; secure bids and select general contractors for required work.

Identify and review with developers and brokers potential clinic sites for the Duke Health Network in collaboration with appropriate administrators; negotiate directly with developers on building and land site costs and prepare lease agreements for negotiation; coordinate with contractors, architects and service providers related to clinic sites; serve on Duke Health Network committees as appropriate.

Serve as liaison between tenants and landlords concerning complaints or problems.

Maintain records and process forms and documents related to leased space as appropriate; maintain liaison between landlords and accounting regarding payments; communicate information regarding leased space and tenants to Plant Accounting, Public Safety and other University departments as appropriate.

Assist DUMC departments in personnel and procedural matters; review DUMC reclassification requests prior to Wage and Salary submission; review budgetary impact of personnel actions on DUMC departments; recommend decisions to DUMC departments and Wage and Salary.

Represent Associate Vice Chancellor to Human Resources departments and EEOC; discuss problems and recommend action regarding EEOC related complaints.

Prepare and maintain appropriate budgets; approve expenditures, reconcile differences and provide information on status; review and approve all travel expense vouchers for the staff of the Associate Vice Chancellor.

Review all incoming correspondence and respond on behalf of the Associate Vice Chancellor as appropriate.

Supervise clerical support; recommend various personnel action including, but not limited to, hiring, performance appraisal and disciplinary actions.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training

Work requires a general business background generally equivalent to a bachelor's degree in a business related field.

Experience

Work requires extensive knowledge of property leasing, space renovation and up fitting, and related leased space resource management, as well as general business administration, generally acquired through a minimum of seven years related experience.
