Occupational Summary

Provide administrative management functions, including finance, budget, personnel, space and facilities planning, and policy interpretation for Duke Stores, including oversight of book operations and office equipment installation, and equipment support services

Work Performed

Plan store and departmental operational budgets by analyzing operating needs, projected revenue, and expenseson both short- and long-term.

Prepare and manage capital expense budget as required.

Maintain interface with departmental personnel to coordinate activities to ensure adequate manning, space, and facilities; coordinate purchasing, maintenance, and renovation activities for the department.

Direct the overall activities of the staff supporting office equipment installation and services and the book operations area.

Develop policies and procedures to monitor, operate and oversee the office equipment support staff, and book operations area.

Serve as Stores liaison with Accounts Payable and AFO to ensure that invoices are processed and paid in a timely fashion.

Serve as departmental liaison with administrative and professional personnel concerning University policies and procedures, personnel administration and budgetary preparation and control.

Prepare reports and analyses to include financial reports, setting forth progress, adverse trends, and appropriate recommendations and conclusions.

Oversee the physical inventory process and reconciliation to University financial records.

Oversee payroll function, including staff onboarding, salary budgeting, and payroll processing.

Monitor the procurement of office equipment, including copiers and fax machines.

Monitor the development of departmental contractual agreements and ensure compliance with University purchasing policies and procedures; evaluate pricing structures and maintenance agreements, delivery, and related functions to ensure high-quality vendor performance and cost control.

Coordinate facility repairs and renovations and make recommendations related to equipment replacement.

Required Qualifications at this Level

Education/Training

Work requires communications, analytical and organizational skills generally acquired through completion of a bachelor's degree program. Master's degree is preferred.

Experience

Work requires six years experience in business in at least two different funtional areas, including experience leading strategically critical cross-functional projects and program development.
