Occupational Summary

Supervise, coordinate and participate in the activities of the Books Fulfillment Department in Duke University Press with primary responsibility for coordinating all matters related to book orders. Manage computerized fulfillment system.

Work Performed

Supervise, coordinate and participate in, as necessary, the activities of the Books Fulfillment Department to include providing quality control and problem solving on all fulfillment matters.

Determine departmental goals and objectives; develop policies for responding to customer service matters including, but not limited to, customer refunds, returns and credit adjustments; supervise account reconciliation and transfers; implement effective record keeping methods.

Manage the computerized fulfillment system; update system to meet accounting/inventory needs; monitor inventory trends; supervise data entry process; troubleshoot problems; develop and update departmental manual of operations.

Coordinate the work of the Books Fulfillment Department with other Duke University Press departments including, but not limited to, Production, Marketing, Journals, Business and Shipping.

Plan and schedule work priorities in accordance with the goals, objectives and deadlines of the Books Fulfillment Department; provide training to departmental personnel, to include such areas as the computerized fulfillment system, customer service and record keeping methods.

Manage various personnel functions including, but not limited to, hiring, performance appraisals and vacation schedules.

Prepare reports and analyses setting forth progress, adverse trends and appropriate recommendations and conclusions. Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training

Work requires organizational and communications skills, as well as knowledge of mathematical principles, generally obtained through two years post secondary education.

Experience

Work requires three years experience in accounting, customer service, book or journal fulfillment or a related field to become familiar with accepted office organization, communications and accounting practices in order to supervise and coordinate the full scope of fulfillment activities. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
