Occupational Summary

Manage and direct all operations in Special Events and Conference Services to include conference services, recording studio, theater operations, campus operations, and special events services.

Work Performed

Manage and direct all operations in the Special Events and Conference Services to ensure excellent customer services and to provide outstanding technical expertise, competitive charge rates, financial stability, and appropriate coordination among internal areas and external service departments.

Develop and recommend operating procedures; establish major schedules and tasks assignments; allocate manpower and equipment to ensure conformance with specified objectives and policies; direct and assign managers of the components in developing programs to comply with their operational objectives.

Provide administrative direction to staff management by applying technical knowledge in the implementation and execution of the planned programs for all of special events and conferences services operations; create and implement a strategic planning and performance management process for department.

Determine fiscal requirements of office and prepare budgetary recommendations; monitor, verify and reconcile expenditure of budgeted funds; plan capital improvements for the division by identifying major facilities and equipment needs, monitoring technological changes in the industry, prioritizing requests from area managers and establishing and funding a five year capital plan; plan facilities renovations of all University theatrical and special events.

Represent University as chief special events support person for largest and most complex events both within and outside University Negotiate agreements with outside special events service providers and subcontractors to ensure lowest cost and highest quality of service; negotiate annual agreement with Local 417 IATSE for union stagehand services.

Direct various personnel functions including, but not limited to, hiring, promotions, performance appraisals, disciplinary actions, grievances, and vacations.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training

Work requires an understanding of special events management, conference/event planning, or theater management and operations normally acquired through a Bachelor's degree in a related field.

Experience

Work requires a minimum of seven years of progressive responsibility in managing special events, conference or theater operations.
