Occupational Summary

Assist the Senior Vice Chancellor of Duke Medicine by performing a variety of administrative and international related duties.

Work Performed

Ascertain Duke's current international network and provide policies and procedures to coordinate active or potential international partnerships. Serve as the central contact point across the University for faculty and staff who require assistance with the logistics of international activity, coordinating contacts with the various functional offices (Visa, payroll, tax, grants, etc).

Coordinate philanthropic responsibilities associated with the Senior Vice Chancellor's (SVC) office, including the management of major foundation relationships as directed by the SVC.

Assist senior level administrator/official in such duties as may be assigned or delegated to provide services designed to meet the needs of applicable constituents; plan, research and coordinate special projects, compile reports, and research and analyze specific operational procedures and problems as assigned. Arrange for and schedule appointments; supervise the preparation of materials for meetings; coordinate appointments, meetings and speaking engagements for senior level administrator/official.

Assist in the timely management of communications, both written and via telephone with a variety of constituents; compose letters and statements independently requiring interpretation and application of University policies, rules and regulations and monitoring follow up with all distributions that require answers, responses and written replies.

Maintain liaison with all levels of administration and faculty to coordinate and resolve problems and issues relative to health care, academic, and/or administrative matters of an internal and external nature.

Assist in the development of policies and procedures as appropriate. Coordinate the work of or supervise designated employees, reviewing completed work for adherence to instructions and correctness, or recommending various personnel actions including, but not limited to, hiring, performance appraisal, promotions, transfers and vacation schedules.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training

Bachelor's Degree in a related area, or an equivalent combination of relevant education and professional experience, and working knowledge of administrative processes in healthcare and higher education.

Experience

Work requires knowledge generally acquired through a minimum of six years experience working with senior executives of increasing variety and/or complexity.
