Occupational Summary

Reporting to the Dean of Academic Affairs, the primary responsibilities of the position are to plan, develop, and implement policies and procedures to transform business operations and communications services; to participate in University-wide planning and execution of improvements and implementations of student information systems; to play an instrumental role in assessment of the curriculum and student programs; to advise deans and directors of undergraduate studies in their interpretation and understanding of academic policy, institutional history, and the application of systems; and to manage staff providing systems services, guidance, and data reporting to Trinity and Pratt Deans' Offices, A&S departments, and central offices of the University.

Work Performed

Develop and direct the implementation of Student Information Services and Systems (SISS) within Trinity College.

Direct implementation of PeopleSoft software with an emphasis on undergraduate setup (both Trinity and Pratt) of the Student Advisement and Student Records modules: program curriculum requirements, monitor changes to requirements and other identified needs; collaborate with the Duke SISS Office and the Registrar to evaluate and improve current functionality of software, to develop new system usages, and to discuss and revise University-wide policies.

Manage Trinity's testing of upgrades, patches, and fixes of academic software; troubleshoot system problems; strengthen Trinity and Registrar's Offices staffs' understanding of set up and use of the student database system.

Supervise staff in audit of student records data entry and setup to ensure accuracy of information and correct operation of the system; direct delivery of reports to the Registrar's Office detailing and explaining setup issues, values needing changes, and positing recommendations for corrections; direct TASS staff input of permissible changes to academic software pertaining to the bulletin and the posting of transfer credit.

Advise and manage training of Trinity and University staff working with Advisement Module; advise SISS support person for Advisement; work with Oracle developers to find solutions to software issues pertaining to Advisement; represent Trinity on SISS Advisory Committee.

Oversee ImageNow team for Trinity and Pratt: establish standards of usage; implement setup of system; oversee training of end-users, creation of procedures and policy manuals, trouble shooting, and testing of upgrades, patches, and fixes; represent Trinity/Pratt on University ImageNow user group committee.

Assess data needs of affiliated, academic support offices such as the AAC, ARC, OUSF, and DUS offices, and, using the PeopleSoft tool, write complex queries to assist them in the performance of their duties.

Direct and facilitate the creation and further development of other system applications such as the Course Approval Database, query tools, web forms; act as liaison with Trinity Technology Services and other IT Offices.

Assess Trinity curriculum and student support programs and contribute to academic mission of Trinity College.

Interpret University, College, system policies (historical and current), and FERPA regulations for deans, departments, staff; ensure uniformity of implementation; act as full participant on Trinity Deans' Committee to interpret, evaluate, and propose College academic policies, to approve exceptions to those policies; and to develop procedures.

Work with the Director of Courses and Curriculum to review policy, provide advice, and to implement improvements such the development of a new numbering system, evaluation of the credit system, functionality of the Course Approval database, etc.

Employ institutional and student-system knowledge to advise deans in the performance of their specialized duties pertaining to pre-health advising, undergraduate research, courses and curriculum, student returns, scholarship groups managed by the Deans' Office, transfer credit, and academic advisement.

Lead principal data mining efforts for college-wide assessment and reporting: vet, provide guidance, and approve requests for data from A&S departments to ensure appropriateness of release, as well as adherence to the Trinity Policy on Assessment Data Dissemination; provide regular data feeds to Assessment Office for student and curriculum evaluation and SACES; using the PeopleSoft query tool, perform complex data studies and analyses on a regular basis for constituents such as divisional and academic deans, financial administration, Curriculum and Course Committees, and departments; serve as key member of the Trinity Assessment team.

Act as Trinity functional liaison with Robertson Scholars program. Work with Dean of Academic Affairs, UNC, and Robertson program to establish policies and procedures; assess eligibility and approve or deny enrollment in cross-campus majors, minors, and certificates; develop and maintain approval forms and course equivalency database; inform and explain policies and procedures to deans, Scholars, Scholarship Program staff, college advisors, and DUSs.

Administer staff in the graduation clearance process and diploma preparation and delivery for Trinity students and Robertson Scholars completing plans at Duke; develop system interfaces, queries, and reports to increase efficiency in monitoring records of, and communicating with, prospective graduates throughout the senior year; and devise methods to increase the accuracy and ease.

Devise, oversee, and coordinate administrative processes and communications for the College.

Evaluate all Trinity processes to streamline and standardize practices; implement software solutions and improve work flow procedures to ensure consistent delivery of high-quality services; work with Trinity College deans by providing leadership and guidance in the re-engineering of their offices.

Devise methods to improve communications between Trinity offices; identify consistent ways to disseminate information; oversee and coordinate web sites; formulate enhanced communication strategies for completing work shared with the SISS Office, University Registrar's Office, directors of undergraduate studies, and departmental advisors.

Contribute to University-wide planning, development, and maintenance of academic programs.

Represent Trinity College on new projects and ad-hoc committees.

Provide consulting services to emergent Duke-affiliated schools such as Duke Kunshan University; propose, evaluate, and suggest improvements to academic policies, requirements, and procedures; offer editorial advice during writing for official publications; guide consultants and staff in set up of electronic advisement and degree audit systems; collaborate with SISS Office and consultants to develop academic structure and Student Records module in PeopleSoft during creation of new programs; teach new hires to use academic software.

Serve on search committees for hiring of essential University administrators.

Required Qualifications at this Level

Education/Training

Work requires analytical, communications and organizational skills, normally acquired through completion of a Bachelor's degree program.

Experience

Work requires knowledge of academic advising as well as expertise in student information systems and services, generally acquired through a minimum of seven years of related experience.
