Occupational Summary
Plan, develop, coordinate, implement and evaluates a variety of seminars, conferences and programs for local, regional and national constituent audiences. Serves as a key member of a team that works collaboratively to create programs of excellence.
Work Performed
Develop, plan, coordinate, implement and evaluate a variety of seminars and programs. Assist in research and development for new program initiatives and take leadership for continual improvements to existing programs. Oversee all facets of customer service to ensure high quality. Work with staff to distribute event management for various programs including budget setting and management, planning and production timelines, speaker recruitment and hospitality, registrations, scheduling, provider contracts, on-site management and event evaluation.
Develop and manage a comprehensive publicity strategy for the Center's programs to include: marketing strategies, analysis of enrollment trends, development of mailing lists, design and publication of various marketing materials.
Serve as system administrator for the School's event planning database. Manage all files and system changes. Develop training modules, train all users, design reports and outputs, supervise work of all database end users for efficient data management, and work with vendors to oversee continuous upgrading of capabilities.
Oversee office fiscal management including program budget development, profit/loss analysis, development of office procedures for monitoring invoices, payments and data management, and reporting to granting agencies. Train employees to work within established financial management procedures. Work with management to assess market conditions, event budgets and grant support for the setting of appropriate tuition and fees. Work with various university offices to insure compliance with school and university policies and procedures.
Supervise all vendor relationships and contracts to maximize use of school resources. Research service providers, conduct site visits, negotiate contracts, review and evaluate service and resolve contract disputes.
Maintain liaison with internal and external educational and professional organizations to explore new program initiatives for the Center. Provide administrative assistance to support accomplishment of program objectives and effective office operations.
Perform other related duties incidental to the work described herein.
Required Qualifications at this Level
Education/Training
Work requires communication, analytical and organizational skills generally acquired through completion of a bachelor's degree program.
Experience
Work requires three years relevant experience including event planning and program development/administration.
