Occupational Summary

The position reports directly to the Dean of the School of Medicine and is responsible for coordinating the execution of the School's strategic plan as well as management of special projects, initiatives, and recognition/award programs managed by the Dean. In addition, this position will serve as Chief of Staff and will be responsible for the central coordination of activities (operations and planning) of the Dean's Office and ensure timely flow of information to and from the executive office.

Work Performed

Working with the Dean and other School leaders, coordinate and monitor the execution of the School's strategic plan and its various strategies. Convene working groups charged with further development of strategies, provide support and advice to achievement of their goals, monitor progress, and manage appropriate communication regarding status of plans to School and Duke Health leadership.

Facilitate the ability of the Dean to manage executive functions by advising Dean, providing context that helps set executive priorities and initiatives, anticipate the needs of the Dean and address any issues on the Dean's behalf as needed.

Develop, recommend, and implement strategies and goals to achieve School of Medicine objectives and priorities. Work with the Executive Vice Dean for Administration and other Vice Deans to coordinate implementation strategies.

Facilitate communication; build relationships, and liaison with the leadership (chairs, directors and leaders) and executive management team of the School of Medicine, Duke Health System, Private Diagnostic Clinic and University. The COS will be the primary interface between the Dean and the SOM Communications Office on targeted communications from the Dean to faculty, trustees and donors.

Plan for the Dean's presentations at regular leadership venues: Duke University Board, including Business and Finance Committee and the Medical Center Academic Affairs Committee, DUHS Board, etc. Support the annual development, monitoring, and reporting of progress of School of Medicine metrics to Duke Health System.

Provide management support to the Dean of the Distinguished Professorship Committee and its process.

Oversee daily operations of the Dean's office.

Manage the administrative staff responsible for the Dean's communications, meeting agendas, presentations and chair/director searches.

Manage special projects, initiatives, and recognition/award programs on behalf of the Dean.

Ensure information flow to and from the Dean's office, via all types of venues (forums, correspondence, speeches, conferences, retreats, etc.).

Develop an office culture based on the highest level of customer service to the faculty. Faculty and staff should perceive as an excellent resource for best practices as opposed to an added regulatory burden.

Required Qualifications at this Level

Education/Training

Work requires a Master's degree.

Experience

Work requires a minimum of ten years of experience in a research and/or health system environment, including leadership of large programs or project implementation efforts. Strategic planning experience preferred.
