Occupational Summary

As a member of the Duke Annual Fund staff in the Office of University Development, the Assistant Director of the Annual Fund and Reunion Giving is responsible for directing two reunion gift campaigns and coordinating operational processes with the Director of Reunion Giving. The assistant director will travel nationally to solicit donors; recruit and train volunteers; develop and manage relationships with university colleagues; and manage reunion events in various cities. The position reports to the Director of Reunion Giving, Duke Annual Fund.

Work Performed

Direct two Reunion Gift campaigns for undergraduate alumni celebrating their and reunions. Develop fundraising goals and strategies to realize both leadership gifts and extensive class participation.

Recruit, train, and manage reunion gift volunteers (both current reunion year and pre-reunion year volunteers), approximately 40-50 volunteers per class.

Identify and prioritize leadership giving prospects. Personally solicit leadership gifts from prospects for whom suitable volunteer matches are not possible or when staff solicitation is appropriate. Leadership giving is defined as gifts and pledges between $1,000 and $250,000 to the Duke Annual Fund.

Maintain frequent contact with volunteers through visits, correspondence, and telephone. Encourage attendance at fall Volunteer Leadership Conference.

Collaborate with Alumni Affairs in planning Reunion Weekend programs and recruiting class leadership.

Provide information and assistance to volunteers to support their ability to proceed with recruitment, solicitations, and other assignments. Follow up with volunteers to ensure completion of assigned responsibilities.

Develop solicitation strategies with Director of Reunion Giving. Monitor progress toward class goals.

Adjust gift campaigns if progress is not being made at satisfactory pace.

FY 07 Reunion Gift goal is $9.5M and 4,900 donors.

Assist in oversight of reunion gift program's day-to-day operations.

Serve as primary liaison with Communications team to coordinate solicitations (i.e. e-mails, letters, brochures, honor rolls, etc.) for direct mail and phonathon campaigns.

Streamline work processes and develop manual to educate and support reunion team members on reunion gift procedures.

Maintain reunion timeline and provide guidance to reunion team members and management team on progress.

Manage support staff member that supervises the reunion team.

National travel to solicit donors and recruit/train volunteers.

Work with Major Gifts Officers to coordinate solicitation and recruitment strategies for key prospects.

Prepare and distribute call lists.

Schedule appointments.

Write trip reports.

Ensure that new pledges and updated donor information are accurately recorded.

Follow up with thank you letters and any information requested by donors.

Develop relationships with colleagues across campus (i.e. Athletics, Fuqua School of Business, Law School, School of Medicine) to co-manage alumni with multiple University interests.

Prepare solicitation strategies and leadership volunteer suggestions for annual Comprehensive Reunion Planning meetings.

Manage reunion events in various cities throughout the country. Plan events to encourage reunion gifts, attendance at the reunion, and recruitment of new volunteers.

Attend and participate in Annual Fund events and gift club receptions (i.e. Homecoming, Graduation, Parents' Gala, Annual Fund Executive Committee weekends).

Performs other duties as assigned.

Required Qualifications at this Level

Education/Training

Bachelors degree

Experience

A minimum of five years of relevant experience is required.

Skills

A demonstrated commitment to higher education and the ability to articulate a persuasive case for annual, unrestricted support of Duke University.

Ability to manage multiple projects simultaneously, working both independently and as a team member.

Ability to travel regularly and to work occasionally on weekends and evenings.

Exceptional ability to think strategically and analytically.

Excellent interpersonal skills, sound judgment, and experience handling confidential information.

Strong initiative, creativity, and attention to detail.

High energy level, sense of humor, enthusiasm, and flexibility are a must.

Knowledge of Duke University preferred.
