Occupational Summary

Provide centralized management and oversight of the administrative functions between the Duke and Singapore Graduate Medical Schools (GMS's) to ensure seamless coordination of the relationship.

Work Performed

Assist the Vice-Chancellor and Dean of the School of Medicine; Dean of Singapore GMS; and Vice-Chancellor for Operations, Administration and Finance for the School of Medicine and Vice-President for Administration, Duke University Health System, Inc. with management of complex projects including establishing timelines.

Oversee Progress in accomplishing objectives.

Represent the Duke School of Medicine on an international basis and oversee any off-campus events sponsored by the Duke Singapore GMS.

Supervise and oversee all local Singapore GMS personnel and operations including all day-to-day functions of operation. Organize and complete yearly reviews, vacation schedules, salary recommendations/adjustments, and disciplinary actions.

Manage all procedures and policies for transition of data throughout the electronic process to ensure a smooth integration with Duke School of Medicine and Duke Singapore GMS financial data systems.

Maintain, participate, and manage an international faculty/staff recruitment program.

Manage, oversee, and administer the Singapore GMS office budget.

Serve as a liaison between the Singapore GMS and Duke School of Medicine in the respective schools, participating organizations (both in the U.S. and in Singapore), and any others that impact the program.

Serve as a spokes person for the program to faculty, alumni, and graduate schools (i.e. Singapore GMS and Duke).

Curriculum development for adjunct faculty (Singapore faculty).

Recruit, hire, train, and supervise administrative support staff for the Vice-Chancellor for Academic Affairs and Dean, School of Medicine.

Coordinate day to day assignments with staff.

Provide oversight of the Vice-Chancellor and Dean's budget and assure appropriate, consistent financial controls are in place.

Assure compliance of the Vice-Chancellor and Dean for the School of Medicine's office with University policies and procedures.

Recommend and coordinate with the Vice-Chancellor and Dean any staff disciplinary actions that may be required.

Prepare original reports.

Develop recommendations on specific assigned projects and implement plans.

Oversee progress in accomplishing objectives.

Chair ad-hoc committee meetings.

Required Qualifications at this Level

Education/Training

Bachelor's degree in business or a related field, Master's degree preferred.

Experience

Seven or more years of administrative management experience, preferably in an Academic setting. Previous managerial or supervisory experience highly desirable.
