Occupational Summary

Serve as a member of the school/department's Alumni & Development Office leadership team. Serve as chief of staff to the Associate Dean. Manage the advancement services staff, including stewardship & donor relations, prospect research, and support staff. Lead special projects and strategic planning. Direct the operations of the Alumni & Development Office within the school/department.

Work Performed

Lead the advancement services team, which includes gift policies, pledge agreements, and endowment agreements; gift handling and processing; prospect research and identification; donor relations and stewardship; and data management and analysis.

Serve as liaison with University Development, Alumni & Development Records, Alumni & Development Systems, Endowment Administration, and University Secretary regarding gift policies, pledge agreements, endowment agreements, and facility namings

Oversee gift handling and processing, including securing donor documentation and assuring proper allocation of gifts

Develop and disseminate reports and analyses to assist in development effort and financial planning

Oversee prospect research and identification; coordinate with senior development staff on prospect management needs and processes

Guide the creation and production of alumni and development communications

Oversee gift stewardship and donor relations, including the development of a comprehensive stewardship plan

Oversee data management, striving for accuracy and completeness in the alumni database as well as developing systems and procedures for extracting and interpreting data

Assist various constituencies with applications for grants, in cooperation with Corporate & Foundation Relations and the Office of Research Support.

Lead the Alumni & Development Office in the annual and multi-year development, implementation, and tracking of strategic plans. Lead other special projects that will change over time, such as alumni surveys, development of prospect management system, industry relations etc.

Serve as the Development Office liaison to the Building Committee.

Team with Associate Dean and Assistant Dean for Alumni & Development to develop a prospect management system that will serve the school/department in the next fundraising campaign.

Manage the planning, execution, and follow-up on both an Alumni Survey and an Alumni Census.

Team with the Associate Dean and the Director of the Career Services Center to develop a plan for industry relations.

Develop and maintain an operating plan for Development Services.

Serve as chief of staff to Associate Dean, representing the Associate Dean as directed and when unavailable.

Document and articulate school/department and Alumni & Development Office policies and procedures.

Oversee the development of the annual department budget; monitor spending and prepare periodic variance reports and requests for additional funding.

Lead Alumni & Development Office in human resources areas, including recruiting, employee relations, training, and culture management.

Manage the Alumni & Development Office space, furnishing, technology, and other equipment needs.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training

Work requires organization, communication and analytical skills normally acquired through a Bachelors degree. Masters degree preferred.

Experience

Work requires the ability to direct financial, technical and administrative support activities to support development and alumni affairs programs acquired through at least seven years of related experience.
