Occupational Summary

Provide overall administrative management and coordination of various business-related functions such as budget, human resources, computer application systems, space, facilities, operational procedures and policy interpretation in accordance with and assure compliance with all University policies. Provide administrative and programmatic direction and coordination in the formulation, interpretation and administration of the initiative's strategic planning and subsequent short and long term policies, procedures and program plans.

Work Performed

Plan departmental operational budgets by analyzing operating needs, projected revenue and expenses on both a short and long range basis; prepare and manage capital expense budgets as required.

Manage the admissions process in the educational offerings, including organizing the review of applications and selection of candidates; as required, develop application materials for academic programs; direct the receipt and processing of educational program applications; and advise on the evaluation of academic and non-academic portions of all educational programs.

Develop policies and processes to ensure that students involved in the educational offerings are well prepared for all aspects of their fieldwork experience, academically, logistically, physically, intellectually and culturally.

Work closely with Federal agencies, corporation and non-profit organization officers/principals, seeking to identify opportunities for collaborating on programs, projects, and research opportunities, identifying Duke faculty and other possible collaborators, and coordinating the activities of collaborators to successfully submit applications and execute approved programs.

Working with the Director supervise the day-to-day implementation of the education strategy and academic components of the program.

Develop, coordinate and manage operational and administrative activities including supervision of financial staff, prepare appropriate recommendations for solutions to problems, and assist in the establishment and implementation of policies and procedures.

Develop, direct and supervise the implementation of communications strategies, including a framework for communicating and building awareness of and support for the initiative's mission and activities with both internal and external constituents. This includes oversight of the web site, internet, print and marketing materials, and marketing activities for outsides audiences, as well as communicating and building awareness and support for the mission and activities describing academic goals and programs.

Promote and support collaborative efforts across the institution; develop and maintain working relationships with faculty, deans, department chairs, center and institute directors, and administrators throughout the university to increase and improve faculty engagement and involvement in initiatives. Coordinate programs, including workshops, colloquia, discussions, speakers, films, and conferences, ensuring collaboration with other schools, departments, institutes, centers, faculty and administrators throughout Duke University as needed.

Maintain relationships both internally and externally to identify, cultivate and solicit support for the Initiative; identify and establish opportunities for strategic partnerships with a diverse array of organizations providing unique potential for collaboration on programs.

Plan department budget needs by analyzing departmental services and programs on both a short and long term basis; recommend priorities and goals for future departmental needs; develop and implement new services; plan for capital purchases and organizational changes due to client needs.

Organize and participate in meetings with staff members to determine objectives for department and develop strategic plan to reach departmental goals. Coordinate the determination of fiscal requirements for the various departments, prepare financial reports and analyses and review budgetary recommendations.

Serve as part of the Initiative's senior team for strategic planning. Represent the Initiative by serving in an advisory capacity to University officials in the absence of the Director.

Manage and supervise the day-to-day activities of assigned staff, ensuring proper distribution of assignments and adequate staffing, space and facilities for subsequent performance of duties.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training

Bachelor's Degree required. Work requires strong communications, analytical, organizational and business skills normally acquired through completion of an advanced degree in a related field. Masters or J.D. preferred.

Experience

Work requires a minimum of seven years of demonstrated experience in a combination of administrative management, financial and strategic planning, and knowledge of educational principles, curriculum development and instructional design.
