Occupational Summary

The Deputy Chief Administrator to Vice President for Durham and Community Affairs advises, supports, assists, coordinates, and collaborates on initiatives for the Vice President. The position manages critical priorities, initiatives and activities, and represents the interests of the office through effective communication, coordination and integration of objectives. This position requires balancing and influencing multiple priorities and individuals. The Deputy Chief Administrator is responsible for the central coordination of all functions and activities of the office, working with Assistant Vice Presidents and Directors. He/she will provide leadership and direction for change management initiatives, project management, and program development on behalf of the Vice President. In collaboration with the senior staff, provide strategic and timely advice and guidance to the Vice President to ensure success in the overall management of the Vice Presidents office. The Deputy Chief Administrator may represent the Vice President in selected internal and external interactions with staff, committees, government representatives, and community leaders. The Deputy Chief Administrator may manage and advise the Vice President on day to day operations, ensuring efficiency and effectiveness and optimizing the use of available resources. Additionally, the Deputy Chief Administrator has oversight for ongoing projects supporting the Vice Presidents agenda to ensure that all are effectively moving according to plan objectives and established milestones and measurement criteria.

Work Performed

Facilitate the ability of the Vice President to manage functions by advising the Vice President regarding key constituencies, providing context and background information on issues, and coordinating research, projects, meetings and initiatives, as assigned.

Establish solid working relationships with key stakeholders and develop a keen understanding of current issues and provide related timely advice to the Vice President.

Represent the Vice President at meetings when Vice President's attendance is not required; attend selected meetings with the Vice President and ensure that action items arising from these meetings are executed in a timely fashion. Act as the Vice President's representative and ambassador to external constituents as directed.

Ensure that issues are considered, appropriate action is taken, and the results communicated throughout the organization as appropriate and in a timely manner.

Draft correspondence for communications with key constituents; interface with executive assistant, as appropriate.

Develop understanding of the formal structure of the organization and interface appropriately.

Guide the strategic planning process and special projects for the office.

Required Qualifications at this Level

Education/Training

Master's degree required; Doctorate degree preferred.

Experience

Minimum 10 years of management experience required, preferably in a highly complex, matrixed organization such as an academic medical center, medical school teaching hospital or research university.
