Occupational Summary

The Associate Vice Provost (AVP) for DKU-Duke Programming and Strategy reports directly to the Provost. S/he leads the Duke Office of DKU Relations which coordinates and oversees all aspects of the Duke-DKU relationship, including strategic initiatives, academic programs, student exchange, faculty contracts and mobility, financial, governance and legal issues.

The AVP works closely with leadership at both Duke and DKU to ensure that all points of coordination between the two campuses are consistent with Duke policies and practices related to academic matters, co- curricular experiences, student services, faculty governance and legal compliance. The AVP must consider Duke's reputation, accreditation and faculty governance when making recommendations related to academic programs, student engagement and new initiatives.

The AVP will also take on special projects, possibly unrelated to DKU, at the behest of the Provost, including academic and program analysis, policy development, institutional planning and participation in governance and search committees

Work Performed

Overall Administration and Coordination

Manage staff of nine (five direct reports), including Academic Dean, Director of DKU Student Engagement, Director of Finance & Administration and six supporting staff.

Travel to DKU as needed (likely 3-4 times per year) to coordinate a variety of initiatives, and communicate regularly with students, faculty and administration at DKU.

In conjunction with the Provost, prepare, edit and contribute to public presentations related to DKU including, but not limited to, writing speeches and preparing presentations to groups such as the Duke and DKU Boards of Trustees, alumni/parents and students.

Chair and serve on institutional committees and attend meetings representing the office; help with developing priorities and setting agendas.

Coordinate Duke delegation visits to DKU, including definition of visit objectives, logistics and follow-up.

Coordinate leadership and faculty visits to Duke, including agenda development, logistics and follow-up.

Represent DKU and Duke University to students, parents, alumni, other institutions and friends of Duke, as appropriate, in both informal and formal settings to explain and promote activities and programs of the Provost and DKU.

Perform other related duties incidental to the work described herein.

Academic Programs

DKU Dual-degree Undergraduate Program/ DKU@Duke Program

Lead the planning and implementation of the undergraduate experience of DKU students during their semesters in residence at Duke University.

Coordinate advising, housing, academic and social integration, course registration, student engagement activities, health and wellness, recreation, and other relevant matters in collaboration with partners on both campuses.

Coordinate annual DKU@Duke application process with DKU leadership, including application, Participation Agreement updates, the J-1 visa application process, collection of deposits and delivery of information sessions.

Oversee and advise the DKU undergraduates (~150-230 students/semester) before and during their time in residency at Duke. Semester experience includes online and in-person orientation, a welcome event, various academic and co-curricular engagement activities and management of complex student situations.

Coordinate semester-based reporting, including student assessment, to capture data and trends related to DKU undergraduate students at Duke.

Lead the planning and implementation of annual summer programming for DKU undergraduate students at Duke, including enrollment in summer session courses, the Summer Research Program and Academic Training.

Manage and provide strategic input for all financial and administrative aspects of the DKU@Duke program. Report student data to Duke Housing, Student Health, Bursar, Registrar, and Leadership throughout the semester.

Provide regular updates to DKU and Duke leadership.

DKU Master's Programs

Maintain regular communication with DKU and Duke program leadership for the Master's Programs in Global Health, Medical Physics, Management

Studies, Environmental Policy and Electrical and Computer Engineering. Coordinate the development and annual review of MOUs for the five DKU Master's Programs, with an emphasis on streamlining administrative processes across programs and ensuring that programs are in line with Duke standards.

Legal/Governance

Draft/support the development of a variety of contracts and agreements between Duke and DKU, including aligning student participation agreements for Duke and DKU, Duke IT Augmentation for DKU, the agreement between Duke University Libraries and DKU Library, Digital Learning Innovation Augmentation Plan, graduate program MOUs, etc.

Faculty

Provide oversight and implementation support to the DKU Studies Unit at Duke, created to provide Duke appointments to DKU faculty in order to ensure compliance with SACS and the Ministry of Education in China.

Oversee the administrative and HR process for all Duke and non-Duke fly- in faculty assignments to DKU.

Work with the Academic Dean and Associate Dean of Undergraduate Curricular Affairs at DKU on all facets of Duke faculty assignments to DKU and all Duke appointments for DKU short and long-term faculty.

Work with legal counsel for input and review.

Finance and Administration

Oversee annual budgets and quarterly variance reports for fund codes related to all aspects of the Duke-DKU partnership.

Manage service contracts with DKU, totaling $13M annually, for three Duke controlled support corporations. Manage and execute DKU-specific financial agreements negotiated with Duke schools and departments for their faculty teaching at DKU or for hosting DKU students in their programs at Duke.

Collaborate with academic leaders and staff as well as colleagues in Financial Services (Accounting, Corporate Tax, Treasury, Procurement, and Sponsored Programs), Human Resources, Corporate Payroll, University Counsel's Office, Export Controls, external Counsel, and counterparts at DKU, Kunshan, and Wuhan regarding all aspects of the Duke-DKU partnership.

Provide administrative and logistical support to Duke faculty and staff traveling to DKU, teaching or working for DKU, and/or serving on one of DKU's many committees.

Continually review and improve all processes and functions that support DKU, including travel, assignment/secondment documentation, taxes, immigration, faculty secondment and appointments, orientation information, etc.

Required Qualifications at this Level

Education/Training

Masters or PhD degree in a relevant field required

Experience

At least 5-6 years of experience in college or university administration. Leadership experience with planning, integrating, and implementing academic and co-curricular elements of undergraduate education in a liberal arts environment. Experience with international education essential and the ability to coordinate between campuses in different countries. Experience in designing, planning and delivering education programs, including graduate and executive education programs.
